Downloading .ESX Xactimate Estimate Files From CMS

When you export an estimate from Xactimate, the file is saved as an ".ESX" file.  The ".ESX" file extension is Xactimate's proprietary extension, or file type, and thus can only be opened with the Xactimate estimating program.  If you find that you are experiencing difficulty in importing the file into Xactimate, after downloading or saving it from a claim in CMS, the culprit is commonly one of two things.  Either the file name is too long or the file was compressed into a ".ZIP" file, which Xactimate does not recognize.  Please follow the steps below to correct this issue.

  1. From the claim within ClickClaims CMS, click on the "Documents" tab.
  2. Left-click, one time, on the .ESX document hyperlink, which is located within the "Document Name/Link" column, as shown below.

  1. Your browser will then present you with the options to select Open, Save, or Save As.  Select the "Save As" option.

  1. Rename the document so that it is limited in the number of characters (Xactimate will not accept the long name and the dashes to which the file name is defaulted).

  1. Click the drop arrow from the "Save as type:" field to change it from "Compressed/ (zipped) Folder (*.zip)" to "All Files".
  2. Browse to the location on your computer to which you prefer to save the file, such as the Desktop.

  1. Click the "Save" button.
  2. The file will now be located on your computer in the location to which it was saved.
  3. Locate the now saved file on you computer.
  4. If the document still displays as a ".ZIP" file, you will need to change it to an ".ESX" file.  
  5. Right-click on the file on your computer and select "Rename" from the list of options that appear.

  1. Remove the "ZIP" located after the file's name and the "." and replace it with "ESX".  For example, if the file name currently displays as "ChanteDavis.zip", you will rename it to "ChanteDavis.ESX".
  2. Once you rename the file and click off of it, you will receive a warning message stating, "If you change a file name extension, the file might become unusable.  Are you sure you want to change it?".

  1. Click the "Yes" button to confirm the change.
  2. The file will now have the correct extension and you may proceed with importing it into Xactimate.
