Assignment Maps Article

“Assignment Maps” is an optional feature available in ClickClaims which allows authorized users to view geocoded, 

unassigned claims on a map for the purpose of assigning each claim to the ideal adjuster stakeholder who is 

available within that location. This user guide provides a comprehensive review of this feature.



Accessing the Assign Adjuster Map: 

Multiple claims can be assigned at one time using ClickClaims’ batching capabilities from the “Status – Pending Adjuster Assignment” widget, or a single claim can be assigned via the mapping method from the claim’s “Summary” tab. 

  1. From the “Status – Pending Adjuster Assignment” widget, click on the   icon. 
    1. This functionality is available to any user associated with the Owner, Administrator, or Claims Supervisor user role. 
    2. When accessing the map from this widget, only claims with a valid “Insured Loss Location” address and that have already been geocoded will show on the map. 
      1. Geocoding is a process where the claim’s loss location address is converted into latitude and longitude and validated.  
        1. Claims are selected for geocoding using the following hierarchy: 
          1. Claims with modified insured loss location address. 
          2. Claims that previously failed to geocode (maximum of 5 attempts). 
          3. Claims with insured loss location address created today. 
          4. Claims created within the last 3 years of the current date containing an insured loss location.
    3. Dashboard filters are integrated into the map’s claim results meaning that if the claim doesn’t meet the conditions set within the filters, the claim will not show on the map. 
  2. Alternatively, you can map a single claim by selecting the  i icon located within the “Adjuster” field of the claim’s “Summary” tab. 
    1. Important: The claim must have a valid “Insured Loss Location” address and must have already been geocoded before this option can be utilized from the “Summary” page of ClickClaims. 


 

Working with the Assign Adjuster Map: 

The “Assign Adjuster” map enables you to view the location of the applicable claim(s) and select them for adjuster assignment using the tools provided.  Also note a number of standard Google tools are available enabling you to adjust the map’s view to meet your needs. 

  1. The main area of the window displays the map consisting of each applicable unassigned claim.  These claims are identified by a red pin. 
    1. One chevron on the pin means that there is only one claim at that location.  Two chevrons mean there are multiple claims at that address.   
  2. Mouse over the pin to view a tooltip showing the claim’s Claim #. 
  3. The Claim Controls pane at the bottom of the map contains a card depicting the details of each claim available for assignment.  Each card includes the following information: 
    1. Claim # 
    2. Insured name 
    3. Insured email address 
    4. Insured primary phone number 
    5. Peril 
    6. Created date 
    7. Loss date 
    8. Flagged as “Shock / Hot File”? 
    9. Flagged as “Steep / Special”? 
    10. Flagged as “Public Adjuster”? 
    11. Flagged as “Attorney Represented”? 
  4. Mouse over the card to automatically identify the claim on the map via the related pin.  Upon mouse over, a tooltip displays on the pin.  This tooltip provides the following information: 
    1. CMS # 
    2. Loss location address 
  5. Left click on the card to select the associated pin on the map for assignment.  This highlights the selected card in green and turns the pin from red to green. 
  6. Select multiple claims for assignment by clicking on each relevant card or by clicking directly on the appropriate pin(s). 
  7. Use the  button located to the left of the Claim Controls pane to sort the cards you’ve selected for assignment to the beginning of the pane. 
  8. Use the  button to return the cards to their original position in the Claim Controls pane and deselect the claims for assignment. 
    1. Or, left click each card/pin to deselect the claim individually. 

 


Assigning an Adjuster from the Map: 

In the “Assignment Maps” feature, adjusters are identified based on their location.  ClickClaims references the “Territory 1”, “Territory 2”, and “Territory 3” sections of the active adjuster’s user record and factors in the zip code(s) contained within each active territory, as well as the specified radius.  It then compares that information to the loss location address of each selected claim to determine eligible adjusters in that area and their match to the claim location(s) by zip code. 

  1. Once you’ve selected the preferred claim(s) for assignment, the panel on the right side of the map enables you to identify and select the preferred adjuster for claim assignment.  Choose the applicable radio button to determine the desired results based on the closest # of adjusters.  These options include: 
    1. Closest 5 Adjusters 
    2. Closest 10 Adjusters 
    3. Closest 20 Adjusters 
    4. Closest 35 Adjusters 
  2. Once you’ve chosen the preferred radio button, click the  button.  A card for each eligible adjuster is displayed.  The card includes the following information (See the “Manage Adjuster’s User Account” section for details on managing this information.): 
    1. Adjuster name 
    2. Distance from loss location 
    3. Their file capacity 
    4. # of Open files 
    5. # of Active files 
    6. # of claims assigned within the last 7 days 
    7. Rating 
    8. Experience 
    9. Authority limit  
      1. Applicable when incorporating the “Financials” module into your workflow. 
    10. Notes 
  3.   pin displays on the map to indicate the location of each listed adjuster.  
    1. A plus sign on the pin indicates multiple adjusters are in that area. Click on the icon to zoom in and view each adjuster’s pin individually. 
    2. Mouse over the desired pin to display a tooltip listing the following information: 
      1. Adjuster Name 
      2. File Capacity 
      3. # of Open Files 
      4. # of claims assigned within the last 7 days  
  4. Click on the  pin to automatically select the adjuster for the chosen claim(s) or click directly on the preferred adjuster’s card and then click the  button. 
    1. Select the  button to return to the original list of adjuster cards. 
    2. Click the  button to clear out the latest adjuster results and revise the number of closest adjusters. 
  5. Once assigned, the pin and card are removed from the map and the claim is assigned in ClickClaims with the appropriate actions occurring per usual, including an activity note that’s automatically generated on the claim’s “Notes” tab. 
  6. You can repeat the steps above until all applicable claims are assigned via the “Assignment Maps” feature. 

 

 

Managing Adjuster’s User Account: 

The “Assignment Maps” feature utilizes various details of the adjuster’s ClickClaims user record to assist you with determining the best adjuster fit for assignment of the selected claim(s).  Below you’ll find information on where and how to manage this information in ClickClaims.  

  1. Navigate into the adjuster’s user record in ClickClaims. 
    1. By default, only users associated with the Owner, Administrator, or Human Resources user role have access to the Users module. 
  2. The following fields can be managed from the “User Profile” tab of the user’s record: 
    1. Adjuster Name 
    2. Rating 
    3. Experience 
    4. Authority Limit (Level) 
      1. This information is only applicable when the “Financials” module has been incorporated into your workflow. 
    5. Notes 

3. The following fields can be managed from the “Assignments” tab of the user’s record: 
  1. Territory 1 
  2. Territory 2 
  3. Territory 3 
  4. File Capacity 

4. The following values are automatically calculated in ClickClaims: 
  1. # of Open files 
    1. Based on the number of “open” claims currently assigned to the adjuster. 
  2. # of Active files 
    1. Based on the number of active files currently assigned to the adjuster.  This is dependent on the assigned open claims being in any status other than “Pending Manager Review” or “Approved for Closured”.  
  3. # within last 7 days 
    1. Based on the number of claims that have been assigned to the adjuster within the last 7 days.
