Managing Products & Services Items (PSI)

Products & Services Items (PSIs) are the individual billable items and services that your company charges for. Each charge on an invoice, including the fee schedule and T&E, is derived from a PSI, which details the items or services being billed. Every PSI is associated with a specific Line Item and is set up to calculate the correct billable amount and commission from that Line Item. PSIs can be found on the optional "Details" page of the invoice, providing an itemized breakdown of your charges. PSIs are akin to "Items" in QuickBooks.


Accessing and Creating a New Billing Rate Sheet

  1. Hover over the "Accounting" button in the menu bar.
  2. Hover over "Manage" in the dropdown list, then hover over or select "Products & Services" from the fly-out menu.
  3. Clicking "Add New" from the fly-out menu will initiate the process of generating a new PSI, whereas choosing "Search" will assist you in locating an existing PSI. Clicking directly on "Products & Services" will lead you directly to the "Products & Services List" data grid page.
  4. On the "Products & Services" page, to generate a new PSI, complete the necessary and optional fields. Fields marked with bold labels are essential and must be filled out prior to saving the PSI record.
    1. Active:  When activated, this PSI can be used during the creation of new invoices/vendor bills..
    2. Name This is the manner in which your users recognize the PSI internally while handling PSI records, incorporating PSIs into Activity Types, and when including the PSI as T&E in claim notes.  (Required)
    3. Code: When filled in, this text is displayed beneath the "Item Code" column on the optional "Details" page of the invoice.  
    4. Description This text is shown in the "Description" column on the optional "Details" page of the invoice. (Required)
    5. Activity Note Default Text: This text is displayed in the "Claim Note" window (when adding a claim note via the "Notes," "Dates," or "Billing" tab) to specify the chosen PSI. Once the PSI is selected, the user has the option to modify this text in the note if necessary to provide clarity regarding the time or expense item.
    6. Category: This enables you to classify your Product & Service items from the "Products & Services List" data grid page. 
    7. SubCategory: This allows you to further categorize your Product & Service items into subcategories from the "Products & Services List" data grid page.  
    8. Vendor Bill Category This enables you to classify each PSI into a designated category. It is a field in the list manager that permits customization of up to 12 PSI categories. The initial 10 categories are shown as columns on the "Adjuster Payroll Report," facilitating the organization of each PSI linked to a vendor bill record into the correct category for reporting purposes, whether by an admin or the user connected to those vendor bills. (Required)
    9. Comments: The comments section enables you to communicate internally regarding the specifics or purpose of the PSI, if needed. 
    10. Invoice Line Item Choose the correct Line Item to link with the PSI. This choice directs the ClickClaims billing engine on which Line Item to consult when incorporating the PSI into the invoice. Depending on the setup of that Line Item in the BRS utilized to create the invoice, the system will ascertain the relevant pricing and commission structure. (Required)
    11. Billing Rate Method  This directs the ClickClaims billing engine to consult the designated pricing field within the corresponding Line Item in the BRS utilized to create the invoice, ensuring precise pricing retrieval. (Required)
      1. Adjuster Hourly: Retrieves the value from the "Adjuster Hourly" pricing field of the corresponding Line Item in the BRS utilized to create the invoice. 
      2. Admin Hourly: Extracts the value from the "Admin Hourly" pricing field of the corresponding Line Item in the BRS utilized to create the invoice.
      3. Calculated Value: Utilized to create the fee schedule section of the invoice. The ClickClaims billing engine refers to the "Invoice Gross Loss" value found in the claim's "Billing" tab, determines the suitable tier within the chosen BRS that corresponds with the pricing window, and incorporates that amount into the invoice using the PSI indicated in the "Default Fee Schedule Product & Service" field of the BRS. Only PSIs employing this billing rate method can be chosen for that field in the BRS.
      4. Expense Item:  Utilize this billing rate method when the PSI fee varies. When the PSI is included in the claim note, the user has the option to manually enter the correct amount for that activity.
      5. Flat Rate: Extracts the value from the "Flat Rate" pricing field of the related Line Item in the BRS utilized to produce the invoice.
      6. Other Hourly: Extracts the value from the "Other Hourly" pricing field of the corresponding Line Item in the BRS utilized to create the invoice.
      7. Unit Price: Retrieves the value from the "Unit Price" pricing field of the corresponding Line Item in the BRS utilized to create the invoice.
        1. Unit of Measure: When "Unit Price" is chosen as the billing rate method, this corresponding field becomes visible, enabling you to indicate the measurement type to show when the PSI is included in a claim note: Days, Hours, Miles, or Unit.
    12. Sales Tax Item:  Enable this field if the PSI is to be considered for taxation. However, checking this box does not guarantee that tax will be levied on the invoice for this PSI. The addition of tax is contingent upon the overall invoice settings. By checking this field, you confirm that if tax is charged on the invoice, this PSI will be factored into the tax calculation. Conversely, if no tax is applied to the invoice, this PSI will remain untaxed, even if the field is checked. If you wish to ensure that tax is never applicable to this PSI, regardless of the invoice's tax status, please leave this field unchecked.  
    13. Vendor Pay Item:  When activated, the PSI is payable to the Adjuster/Admin/Other party according to the commission rate(s) set for the relevant Line Item in the chosen Billing Rate Sheet. If disabled, the PSI will not be payable to the Adjuster/Admin/Other party and will only be shown on the invoice, without being factored into any vendor bills linked to the invoice.
      1. Exclude from Invoice:  This is an optional configuration that can be activated upon request by an authorized individual at your company. Once activated, checking this box will remove the PSI from the invoice and apply it solely to the corresponding vendor bill(s), according to the Adjuster/Admin/Other commission rate(s) set for the related Line Item in the chosen Billing Rate Sheet.  
        1. This field cannot be activated unless the related "Vendor Pay Item" field is checked.  
    14. Billing Type:  Select the correct radio button next to "Fee Schedule" if this PSI pertains to the fee schedule tier of the Billing Rate Sheet, "Time & Expense" if it relates to a T&E service item, or "Both" if it is applicable to both categories. Please be aware that this selection will not impact your invoices or vendor bills.  
  5. When you have completed the PSI configuration, click the  button.
  6. Click the  button to access the “Products & Services List” page, where you can create a new PSI, view an existing one, search for current PSIs, or generate and export a report of your PSIs.
