NIPR Article

This article provides a comprehensive review of the NIPR optional feature available within the ClickClaims CMS application to manage adjuster licenses via the NIPR PDB Report and PDB Alert services.

 

Site Settings for NIPR:

The following site settings must be configured by a site administrator at your company to permit connection to the NIPR PDB Report and PDB Alert services.

  1. From the “Tools” menu bar button, select “Application Settings” from the drop-list.
  2. Select the “Settings” tab.
  3. Users associated to the “Owner” or “Administrator” user role must maintain these NIPR related site settings:
    1. NIPR Username: The username for connecting to the NIPR PDB Reports and PDB Alert services.
    2. NIPR Password: The password for connecting to the NIPR PDB Reports and PDB Alert services.
      1. IMPORTANT: Changes at least every 90 days.
    3. NIPR Subscription Name: The name of the subscription used by CMS to get PDB Alerts for all selected adjusters.

National Producer Number:
 
The adjuster’s National Producer Number (NPN) is managed from within their user profile record by an authorized site administrator.

  1. Navigate into the “User Profile” tab of the desired adjuster’s user record from the “Users” menu bar button.
    1. By default, this is accessible only by users associated to the “Owner”, “Administrator”, and/or “Human Resources” user role.  If you do not have access to this area and you believe this is in error, please contact your manager or site administrator, as defined by your company’s protocols.
  2. Locate the “National Producer Number” field within the “Third Party” section of the adjuster’s “User Profile” tab.
  3. Enter the user’s NPN and click the  button when ready to retain this change.

  1. IMPORTANT: Upon clicking the  button, if the value entered in the “National Producer Number” field is found in an existing user record, a validation message displays stating, “NPN {insert value} is currently associated with User, {insert user’s full name}.  You cannot add this NPN to a second User Profile.”

  1. IMPORTANT: When the NIPR sync is active, the “National Producer Number” field becomes “Read-Only” and cannot be modified until the NIPR sync is stopped.

Licenses / Certification Tab:
An adjuster’s License records are managed from the “Licenses / Certifications” tab of the adjuster’s user profile record which utilizes the data grid functionality found throughout the ClickClaims application.  The NIPR sync process is operated by authorized users from this location as well.

Start NIPR Sync:
Users with access to the “Users” module can initiate the NIPR sync process from the “Licenses / Certifications” tab of the adjuster’s user profile record.

  1. Navigate into the “Licenses /Certifications” tab of the desired adjuster’s user record.
  2. Click the  button to initiate the sync.
    1. IMPORTANT: This button is only enabled if there is a value saved within the “National Producer Number” field on the “User Profile” tab of this adjuster’s record.  A tooltip displays upon mouse over of the disabled  button stating, “This action is disabled because there has to be a National Producer Number saved on the User Profile tab for this user.”
    2. IMPORTANT: The  button is disabled when the NIPR process has already been initiated. Mouse over the disabled  button to display a tooltip stating, “The NIPR Sync has already been initiated for this user.”
  3. A confirmation message displays stating, “Are you sure you want to START the NIPR Sync?”

4. If “Yes” is selected, a confirmation message displays stating, “The NIPR Sync has started” and the  button becomes disabled and no longer eligible for selection.

5. This action sends the user’s name and National Producer Number to NIPR in order to receive the PDB Report and PDB Alerts which contain all of the license information.  

  1. The original PDB “Report.xml” file is saved to the “Documents” tab of the user record within the “Licenses and Certifications” file type and “Professional Licenses” file sub-type.
  2. The “AddTarget.xml” document, which is sent by NIPR to confirm the NPN has been added due to initiating the NIPR sync via the  button, is also saved to the “Documents” tab under the same file type and file sub-type.

6. Once daily (weekdays only), NIPR sends a PDB Alert containing any changes for the licenses associated with the adjuster’s NPN and the applicable License records are updated automatically in ClickClaims.   

  1. If the XML received from NIPR contains state licenses NOT already listed on the user’s “Licenses / Certifications” tab, they are added as new records. 
    1. IMPORTANT:  When creating a new License record via the XML from NIPR, any manually created License records with the same license number, state, and issue date as the license created by NIPR will be deleted.
    2. The “Lines of Authority” column on the “Licenses / Certifications” tab holds comma separated data received from the PRB Report.
  2. If the XML has differing information on a specific license number, the existing License record is updated in ClickClaims with the PDB information.
    1. IMPORTANT: When the NIPR sync is active, License records that have been added or updated by the NIPR process become “Read-Only” (no longer editable) on the “Licenses / Certifications” tab.  The  edit and  delete icons are replaced by the  ineligible icon.  Manual, user-entered records remain editable.
      1. Mouse over the icon to display a tooltip stating, “This license cannot be edited because it has been synced to/from NIPR” or “This license cannot be deleted because it has been synced to/from NIPR”, as applicable.

7. IMPORTANT:  Please allow 30 minutes to 1 hour between when the NIPR sync is started via the  button and when the licenses contained within the PDB Report become available in ClickClaims.

8. IMPORTANT: If the NIPR sync fails, an email is sent to the email address specified by your company as notification.

 

Stop NIPR Sync:
Users with access to the “Users” module can terminate the NIPR sync process from the “Licenses / Certifications” tab of the adjuster’s user profile record.

  1. Navigate into the “Licenses /Certifications” tab of the desired adjuster’s user record.
  2. Click the  button to cease the NIPR sync.
    1. IMPORTANT: This button is only enabled if the NIPR sync process has been initiated.  If it has not, a tooltip displays upon mouse over of the disabled  button stating, “This action is disabled because the NIPR Sync is not currently active for this user.”
  3. A confirmation message displays stating, “Are you sure you want to STOP the NIPR Sync?”

4. If “Yes” is selected, a confirmation message displays stating, “The NIPR Sync has stopped.  The License records created or updated by the NIPR Sync will be editable once NIPR has confirmed our request.”  The  button also becomes disabled and is no longer eligible for selection.

  1. The confirmation that the request was successful is the receipt of the “RemoveTarget.xml”.

5. When the NIPR sync is stopped via the  button, the “RemoveTarget.xml” document, which is sent by NIPR to confirm the NPN has been removed, is saved to the “Documents” tab under the “Licenses and Certifications” file type and “Professional Licenses” file sub-type.

6. When the NIPR sync is stopped for the adjuster, the NIPR created/updated License records become editable again on the “Licenses / Certifications” tab. The  edit and  delete icons replace the  ineligible icon.

7. When the NIPR sync is stopped, the “National Producer Number” field on the “User Profile” tab becomes editable by eligible users again.

8. IMPORTANT: Please allow approximately 30 minutes to 1 hour for the “Stop” command to be communicated between NIPR and ClickClaims.                                                          

 

View Licenses / Certifications History:
The “View Licenses / Certifications History” button located on the “Licenses / Certifications” tab of the user record is available to track changes made to a license or certification record whether the change originated from the NIPR sync process or manually modified by an authorized user.

  1. Navigate into the “Licenses /Certifications” tab of the desired adjuster’s user record.
  2. Select the  button to open the “Licenses / Certifications History” window.
  3. A change made to any field within the license or certification record is captured in the history record which contains the following information: 
    1. Date / Time: Date and time stamp of when the change occurred.
    2. Number: Number of the record changed.
    3. Field Name: Name of the field within the record on which the change occurred.
    4. Before Value: Value of the field prior to the change.
    5. After Value: Value of the field after the change.
    6. Updated By: Displays as “NIPR, Importer” if the change was made by the NIPR sync process.  Displays the name of the user if the change occurred manually.

View NIPR Sync History:
 
The “View NIPR Sync History” button located on the “Licenses / Certifications” tab of the user record is available to track each “Start”/ “Stop” action that’s occurred on the user record via the  and  buttons. 

  1. Navigate into the “Licenses /Certifications” tab of the desired adjuster’s user record.
  2. Select the  button to open the “NIPR Sync History” window.
  3. Each time either the   or  button is selected, the action is captured in the record which contains the following information: 
    1. Date / Time: Date and time stamp of when the action occurred.
    2. Sync Information: Displays “Start”, if the  button was selected, or “Stop” if the  button was selected.
    3. Updated By: Name of the user who initiated the action.

4. IMPORTANT:  If the  or  button is selected, but the action terminated via the confirmation message, that action is not captured in the “NIPR Sync History” window. 

 

Identify User by National Producer Number

“NPN” is available as a search field on the “User Search” page permitting authorized users to locate a user based on their National Producer Number.  “NPN” and “Lines of Authority” are also available as columns on certain views of the “User List” data grid page.  

“NPN” Search Field:

  1. Select “Search” from the “Users” menu bar button to navigate to the “User Search” page.
    1. IMPORTANT: By default, only a user associated to the “Owner”, “Administrator”, or “Human Resources” user role is authorized to access the “Users” module of ClickClaims.

2. Check  to display additional search fields on the “User Search” page.

3. Enter the desired user’s exact or partial National Producer Number within the “NPN” search field found under the “Advanced Search” section of the page.

4. Populate other search fields if/as needed with the pertinent search criteria and click  to initiate the search engine.

“NPN” and “Lines of Authority” Columns:

  1. After navigating to, and performing a search via, the “User Search” page, the “User List” page displays.
  2. “NPN” is a secondary column available on any view of the “User List” page.

3. “Lines of Authority” is a secondary column on the “Default” view, but a primary column on the “Skills / Licenses & Certs” view of the “User List” page.

  1. Mouse over the  information icon to display a tooltip containing the relevant Lines of Authority.
    1. IMPORTANT:  If a user search is performed for a specific state via the “Licensing State” search field in the “Advanced Search” section of the “User Search” page, the  tooltip will show the Lines of Authority for that state only.  If no state was specified during the user search in the “Licensing State” field, the tooltip will list each state and the Lines of Authority for that state.
