Billing Rates and Fee Schedules Article

Once all accounting items have been entered (e.g., line items, products, and services), the next step is to create your Billing Rate & Fee Schedules (BRS), which are essentially detailed recreations of your daily and/or catastrophe fee schedules. These schedules define the fees for services that may be invoiced or billed under an insurance policy or contract. This can include charges based on a fixed amount, a percentage of the gross loss, or time and expense-based billing, such as hourly rates, mileage, tolls, and ladder assists.  



Accessing and Creating a New Billing Rate Sheet


  1. Mouse over the "Accounting" button from the menu bar.
  2. Mouse over "Manage" from the drop list and mouse over or select "Billing Rates & Fee Schedules" from the fly-out menu.
  3. Clicking "Add New" from the fly-out menu will start the process of creating a new BRS, while selecting "Search" will help you find an existing BRS. Clicking directly on "Billing Rates & Fee Schedules" will take you straight to the "Manage Billing Rates" data grid page. 
  4. Once on the "Billing Rate Manager" page, to create a new BRS, enter a value in the "Name" field to identify this BRS.
  5. Use the "Comments" field to communicate specific details regarding this BRS so that it is clear to others when and how this BRS is to be used when creating invoices.
  6. Ensure that the BRS is flagged as "Active" if it is to be used for invoice creation.  If unchecked, it won't be available for selection on the claim's "Billing" tab during the invoice creation process.
  7. Select the appropriate option from the "Default Fee Scheduled Product & Service" field's drop-list.
    1. Note:  Only Product and Service Items configured with a "Billing Rate Method" of "Calculated Value" will appear in this field's drop-down list. This is because the selected Product & Service Item is used by the ClickClaims billing engine to calculate the claim's gross loss value based on the applicable tier of the BRS. This then determines the fee schedule component of the claim's invoice when the BRS is applied to generate the invoice.  
  8. Click the "Save" button.



Setting the Billing Rate Sheet's Attributes

Once saved, you can begin building your Billing Rate Sheet (BRS). Specific attributes can be configured to determine when this BRS is eligible for generating a claim's invoice. If the claim's attributes do not match those of the BRS, it will not appear in the "Billing Rate Sheet" drop-down list located on the claim's "Billing" tab. This ensures that the correct Billing Rate Sheet is used, preventing errors and incorrect invoicing.

 


File Type:

  1. Select whether this BRS is to be used to generate invoices for claims with a file type of "Daily", "Catastrophe" or both ("All").  
    1. For example, if "Daily" is selected, this BRS will only be available for selection when creating an invoice from the claim's "Billing" tab when "Daily" is selected in the claim's "File Type" field.  



Clients:

  1. Click on the "Clients" tab.  This tab only shows after the BRS is saved.
  2. Use the arrow buttons to toggle one or more clients between the "Available Clients" (not associated with the BRS) and "Associated Clients" (associated with the BRS) sections if this BRS should only be used to create invoices for claims associated to one or more specific clients.  By default, the BRS is associated with all clients.


Events:

  1. Click on the "Events" tab.  This tab only shows after the BRS is saved.
  2. Use the arrow buttons to toggle one or more events between the "Available Events" (not associated with the BRS) and "Associated Events" (associated with the BRS) sections if this BRS should only be used to create invoices for claims associated to one or more specific events.  By default, the BRS is associated with all events.


Claim Codes:

  1. Click on the "Claim Codes" tab.  This tab only shows after the BRS is saved.
  2. Use the arrow buttons to toggle one or more claim codes between the "Available Claim Codes" (not associated with the BRS) and "Associated Claim Codes" (associated with the BRS) sections if this BRS should only be used to create invoices for claims associated to one or more specific claim codes.  By default, the BRS is associated with all claim codes.

 



Configuring the Fee Schedule Tiers

Within the "Fee Schedule Attributes" section of the Billing Rate Sheet, one or more tiers can be configured based on the fee schedule you're replicating in ClickClaims. This configuration guides the ClickClaims billing engine in calculating the fee schedule portion of the Billing Rate Sheet, separate from any additional time and expense fees that may apply to the invoices generated using this BRS.


  1. Begin by clicking theicon to configure the first tier of the fee schedule which begins at a "from" amount of "$0.00".
  2. Next, enter the "to" amount in the first "Amount" field.
  3. Choose "Amount", "Percentage", or "Time and Expense" from the second, "Calc. Type" field's drop-down list.
    1. If "Amount" is selected, input the appropriate dollar value under the third, "Amt/Percentage" field.
    2. If "Percent" is selected, enter the relevant percentage value in the third, "Amt/Percentage" field.
      1. A fourth, "Min" and fifth, "Max" field will appear, allowing you to specify a minimum and/or maximum dollar amount if applicable.
    3. If "Time And Expense" is selected, it indicates that, at that tier level the BRS will use straight time & expense (T&E) billing.
  4.  Once you've completed the entries, click theicon to create a new tier, if needed, and repeat this process until all necessary tiers have been configured to fully reconstruct the fee schedule component of the BRS. 
  5. Select the  button to delete an existing tier.




Configuring Line Items

All Line Items configured in your ClickClaims site (via Accounting > Manage > Invoice Line Items) are displayed in the data grid section of the "Billing Rate Manager" page. By default, each Line Item shows the name, price, and commission settings as initially set on the "Manage Invoice Line Items" page. However, the configurations can be customized within each individual Billing Rate Sheet (BRS) as needed, allowing you to adjust the pricing model to fit the specific fee schedule you're working with. 




  1. Select the  icon located next to the Line Item you wish to modify.  
  2. Populate or edit any fields within the selected Line Item record in order to customize it to this BRS.
    1. Line Item Text: Determines how the Line Item's name appears on any invoice generated with this BRS.
    2. Comments: Determines any internal comments regarding this Line Item for this BRS.
    3. Unit Price: Enter a dollar amount if this BRS will allow billing of any Product & Service Item associated with this Line Item that has a billing rate method of "Unit Price".
    4. Flat Rate Price: Enter a dollar amount if this BRS will allow billing of any Product & Service Item associated with this Line Item that has a billing rate method of "Flat Rate".
    5. Adjuster Hourly Rate: Enter a dollar amount if this BRS will allow billing of any Product & Service Item associated with this Line Item that has a billing rate method of "Adjuster Hourly".
    6. Admin Hourly Rate: Enter a dollar amount if this BRS will allow billing of any Product & Service Item associated with this Line Item that has a billing rate method of "Admin Hourly". 
    7. Other Hourly Rate: Enter a dollar amount if this BRS will allow billing of any Product & Service Item associated with this Line Item that has a billing rate method of "Other Hourly". 
    8. Commission: (Adjuster Commission; Admin Commission; Other Commission):  To configure the desired commission percentage, enter the appropriate value in the applicable commission field(s) and select "Billing Sheet Rate" in the corresponding field(s) to pull that rate directly from the BRS.  Alternatively, leave the commission field blank and set the corresponding field to "User Profile Rate" to direct the billing engine to reference the commission rate in the applicable user’s profile instead.  This setup allows the ClickClaims billing engine to accurately calculate the commission rate for the Billing Rate Sheet (BRS) for any Product & Service Item associated with this Line Item.  
      1. Note: A site setting is available, which can be enabled upon request, allowing you to manage separate Adjuster, Admin, and Other commission rates for "Daily" and "Catastrophe" claims. Once enabled, enter the corresponding Daily or Catastrophe commission rates in the appropriate fields. ClickClaims will then automatically select the correct commission rate based on whether the invoice is associated with a "Daily" or "Catastrophe" file type. 
      2. Adjuster Commission
        1. If the Line Item is for the fee schedule portion of the invoice, then it will automatically apply commission to the claim's assigned adjuster.  
        2. For any other Line Item, it will apply the commission to the user whose name was selected in the "Adjuster Commission" field of the "Claim Note" window (which is accessed by adding a note from the claim's "Notes", "Dates", or "Billing" tab) when the T&E (PSI) was added to the claim activity note. 
          1. Note:  The "Adjuster Commission" field of the "Claim Note" window automatically defaults to the claim's assigned primary adjuster stakeholder, but this can be manually changed at the time of note creation. 
      3. Admin Commission:
        1. If the Line Item is for the fee schedule portion of the invoice, then it will automatically apply commission to the user whose name is selected within the "Admin Commission" field of the claim's "Billing" tab.  
        2. For any other Line Item, it will apply the commission to the user whose name was selected in the "Admin Commission" field of the "Claim Note" window when the T&E (PSI) was added to the claim activity note.  
      4. Other Commission: 
        1. If the Line Item is for the fee schedule portion of the invoice, then it will automatically apply commission to the user whose name is selected within the "Other Commission" field of the claim's "Billing" tab.  
        2. For any other Line Item, it will apply the commission to the user whose name was selected in the "Other Commission" field of the "Claim Note" window when the T&E (PSI) was added to the claim activity note.  


3. When finished, click the  button and continue by editing the next Line Item, as needed.  Click the  button to abandon your changes, or click the  button to return the Line Item configuration back to its default values. 

4. Select the  button at the top of the page to view the "Billing Rate History" including details of changes made, the dates of those changes, and the individuals responsible.  

5. When finished working within the Billing Rate Sheet, click the  button.  Click the  button to navigate to the "Manage Billing Rates" page, where you can create a new Billing Rate Sheet, view an existing one, search for existing BRSs, or generate and export a report of your BRSs.
